GotoMeeting Training

Hey all,

I’m so grateful for you. This is such a hard time and you all are killing it. We are working with a new normal that isn’t fun, no doubt about it. This is a NEW Normal for us. No one, EVER, has had to do what we are doing.

One of the things we have to do is have video conferences, again, NO ONE has had to only have meetings with video conferences EVER. Be patient with the process. This is completely new for most of you, so I thought I would put together a quick training website so if you needed a reference it is here for you.

Quick Tips for Video Conferencing:

  1. TEST your meeting BEFORE you meet. Make sure your mic is working and you know how to use your video camera. EVERY MEETING. Sometimes something changes on your system and you have to make sure you know how things are working.

  2. MUTE

    1. If you are the HOST, MUTE EVERYONE as soon as they are logged in. Then, tell them you muted everyone and that if they have something to say they need to unmute themselves…

    2. IF someone tries to talk and is on mute, help them by telling them they are muted.

    3. Mute yourself anytime you aren’t speaking

  3. If someone starts having issues, if they are not critical to the meeting, mute them and move on.

  4. If someone critical to the conversation is having technical issues (echoing, no video, can’t hear, etc…) tell them to hang up and call the phone number in the invite.

A few things about OUR Video Conferencing:

  1. We use GotoMeeting. The reason we use it is that our Office Phone system comes with GotoMeeting so we don’t want to pay for some other service.

  2. GotoMeeting AND my.jive.com ARE THE SAME THING.

  3. Those of you who don’t work in the office DO NOT HAVE GotoMeeting accounts, unless you sign up for a free account. If you want to do that, let me know.

  4. You DON’T need a free account if you are invited by someone to a GoToMeeting

A few steps to help the process:

  1. For those in the OFFICE: How to install the GotoMeeting Office 365/Outlook connector:

    1. https://support.goto.com/meeting/help/install-the-gotomeeting-office-365-outlook-add-in-g2m020050

  2. For those in the OFFICE: Once you’ve install the plugin for your Outlook, you can send a calendar invite (see the video below).

  3. Anyone at Y&C can download GotoMeeting to be prepared for a meeting (See video below)

  4. For those in the OFFICE: You can SIGN IN to Gotomeeting once it’s downloaded WITH your Jive/GotoConnect login (See video below). If you don’t have a Jive/GotoConnect login (in the field) you don't need to log in.

  5. For Meeting Organizers (those that sent the invite, probably those in the OFFICE): When you start a meeting, you control who joins, and their microphone/video. When people join, MUTE THEM ALL. You control the meeting (See video below).

  6. AGAIN, GotoMeeting AND GotoConnect/Jive are the same thing. So, I’ve included a video showing how to use GotoConnect (office only) for ALL meetings (See video below).

  7. Once you are logged on to a meeting, below I show you in both GotoMeeting AND GotoConnect how to make sure your video/audio are working. IF you are having trouble, don’t be afraid to just call the conference line. NEVER have both the conference line AND computer audio on at the same time (See video(s) below), AGAIN NEVER have both going at the same time.:

That’s it. You should be an expert GotoMeetinger now.
